How We Protect Your Memories

Our privacy promise to every family · Updated November 3, 2026

When you hand us your photos, films and videos, you are trusting us with your family's history and its most personal moments. This page explains, in plain words, how we care for your items and keep your memories private, from the day they arrive until long after they come home.

I'm John Spear, owner of The Picture Org(anizer) and a Certified Privacy Advocate through The Photo Managers. I hold every project to one simple standard: your memories are treated the way I would want my own family's treated.

Your originals stay in our care

  • 100% in-house. Your prints, slides, negatives, albums, tapes and film reels are scanned and digitized in our own studios in Sammamish, Washington and Depoe Bay, Oregon. They are never sent to overseas facilities or bulk scanning labs. If any part of your project ever needs to be done outside our studios, we will tell you at the time, before it happens.
  • Only our own team handles them.
  • Everything comes home. Every original is returned to you when your project is complete.
  • The one regular exception: film developing. Undeveloped 35mm color film (including disposable cameras) has to be developed by a photo lab, so it goes to our trusted partner lab for processing.

Your digital files stay private

  • Your scans are made on our own studio computers and kept on our own servers in the studio, not in a public photo-sharing service.
  • We look at your photos and videos only as much as the work needs: scanning, restoring, organizing and checking quality.
  • We never sell them, share them, or use them to train AI.
  • We never show your photos or videos on our website, in ads, in videos or on social media without your written permission.

Getting your files back to you

  • USB drives are loaded in the studio and handed or shipped straight to you.
  • Download links come from our own transfer service, travel over an encrypted connection, work only for the person holding the link, and are deleted automatically after 15 days. Upload links we give you for sending us files work the same way.
  • Online galleries, if you choose one for sharing with family, are private or shared exactly the way we set them up together.

After your project is done

We keep an archive copy of your finished files on our studio servers for at least one year after delivery, so we can help if your copy is ever lost or damaged, and so a returning family's collection stays together. After a year we may delete older projects, so please keep your own copies and backups safe rather than relying on ours. If you'd rather we didn't keep a copy at all, just tell us and we'll delete it.

Your personal information

  • We ask only for what we need to book, do, deliver and bill your project: your name, contact details and project notes. Appointments and project forms run through Dubsado, our client management service.
  • Payments are handled by the payment service you choose, such as Clover, Stripe, PayPal, Venmo or Zelle, under that service's own privacy policy. We receive only a confirmation of your payment and never see or store your full card or bank account number.
  • We email you about your own project. We add you to our newsletter only if you sign up and confirm it yourself, and every newsletter has an unsubscribe link.
  • We never sell or rent your information to anyone.

You're always in control

At any time you can ask us what we have about you or your project, ask us to correct it, or ask us to delete your files and information. We'll answer within 30 days. We may need to keep invoices and tax records for as long as the law requires.

Questions? Ask me directly

If you have any concern about how your memories are handled, I'm happy to talk it through before you book.
